Description

Job Purpose: To provide secretarial and administrative assistance to the Beirut City Centre Project Team in the day-to-day smooth running of the office. Key Tasks: 1. Receives and distributes daily incoming and outgoing correspondences. 2. Typing minutes of the meetings / correspondences / PAR (Project Approval Request). 3. Organising appointments and meetings (between the client / consultant / contractor). 4. Handles administrative tasks related to the work of the Project Team and running of the Project Office 5. Keeping track of all records of the assigned projects. 6. Preparing LPOs and Internal Notes as and when required. 7. Other jobs assigned from time to time. 8. Overall responsibility for all project filing systems. 9. To review , code, electronically image, enter , file and retrieve various documents including correspondences , meeting minutes, reports, bid forms , agreements and other project related documents 10. To organizes and maintains systems for filing and retrieving hardcopy and electronic construction documents and plans, and other records. -Complexity: 1. Should have a presentable personality, good computer and shorthand skills. 2. Excellent communication skills in English and Arabic are a must. 3. 5 years experience in handling office correspondences and filing independently. 4. Job requires the holder to have a good working knowledge of MS-Office and be able to prepare reports using spreadsheets, manuals and other documents for the Group. 5. Should be able to do self-correspondence. 6. Should have through familiarity with the procedures of identifying, coding, entering and retrieving the correct project and project categories for each document.
